Research Productivity
Purpose and Scope
The Research Productivity Dashboard provides a comprehensive view of UTRGV’s research expenditures, focusing on both internal and external spending. It is designed to track growth, identify trends, and compare research performance across fiscal years, aiding in data-driven decision-making and strategic planning.
Data Sources and Structure
The dashboard pulls data from multiple sources, including UTRGV’s financial systems, THECB reports, and internal databases, segmented by function codes, fund codes, and timeframes. It structures data into research categories (e.g., restricted, unrestricted, federal) for detailed analysis.
Key Metrics and Visualizations
Key metrics include Total R&D, Restricted Research, Federal Research, and Sponsored Programs Expenditures. Visualizations consist of bar charts, treemaps, line charts, and tables to display growth trends, top performers (e.g., departments, PIs), and funding breakdowns, facilitating detailed and comparative analyses.
User Manual: Research Productivity
Filters and Slicers:
- With & Without 997, Function: Allows users to filter research data with or without the 997 function code, which refers to Scholarship Fellowship expenditures.
- Fund: Filters data by fund type (e.g., federal, state, private, internal).
- Colleges/Schools, Department: Enables filtering by specific college or department within UTRGV to isolate expenditures related to particular organizational units.
- FY (Fiscal Year): Allows users to select the fiscal year(s) for viewing relevant data. By default, all years are selected.
- Month: Users can filter the research data based on specific months if necessary.
Key Performance Indicators (KPIs):
- Total R&D (Official Number): Represents the total research and development expenditure across all research function codes and fund codes, excluding specific accounts like interest and transfer accounts.
- Restricted Research (per Total R&D): Shows the proportion of restricted research expenditure from the total R&D, including all research function codes and external fund codes, with certain exclusions.
- Total R&D (THECB): Displays total R&D as defined by the Texas Higher Education Coordinating Board (THECB), including all research function codes and fund codes, with additional exclusions such as pass-through accounts.
Cards:
- The cards highlight variables such as the total R&D, restricted research, and other specific metrics like the total R&D as reported to THECB.
Visuals:
- Tables for Total R&D and Restricted Research:
- Each table displays fiscal year (FY) data, including metrics like Total R&D, Restricted Research (by percentage), and other breakdowns.
- Users can interact by selecting specific years from the FY slicer to view corresponding data for each variable.
- Descriptions Panel: Each panel next to the tables provides data definitions and criteria to help users understand the inclusions and exclusions for each metric shown.
Overall Functionality: This tab provides a side-by-side view of key research variables, allowing users to compare and contrast metrics like total R&D, restricted research expenditures, and the breakdown according to THECB criteria. Users can filter by various dimensions such as fiscal year, department, and funding type to analyze and identify trends, making it a comprehensive tool for understanding and monitoring research expenditures.

- Fund: Allows selection based on specific fund types such as federal, state, and private funds.
- Colleges/Schools, Department: Enables filtering by specific colleges, schools, or departments within UTRGV.
- FY (Fiscal Year): Displays data for a selected fiscal year, with options to choose multiple years.
- Month: Filters the data based on specific months if needed.
Key Performance Indicators (KPIs):
- Total R&D: The overall research and development expenditure, highlighted prominently at $86.9M.
- Restricted Research: The expenditure attributed to restricted research activities.
- Sponsored Programs: Displays the total expenditure for sponsored programs.
Cards:
- Total R&D ($86.9M): Shows the total research expenditure.
- Restricted Research ($42.6M): Displays the restricted research spending.
- Sponsored Programs ($202.7M): Indicates the total amount allocated to sponsored programs.
- Additional cards show metrics such as Total R&D (THECB), Research Grand Total (UTRGV), and specific research categories.
Visuals:
- Pie Chart: Illustrates the proportion of unrestricted vs. restricted research, providing a clear visual distribution.
- Treemap: Displays research spending by colleges and departments. The size of each block represents the amount spent by each unit, enabling users to identify which units have the highest expenditures quickly.
- Text and Numeric Cards: Highlight specific figures, such as ERU totals and research project counts, providing quick reference points.
Overall Functionality: The "Research Summary" tab offers a high-level view of total research expenditure and distribution across various categories, departments, and colleges. It is useful for identifying which areas receive the most funding and understanding the allocation of restricted vs. unrestricted funds.

- Colleges/Schools: Filters KPIs by colleges or schools for specific insights.
- FY (Fiscal Year): Users can select a specific fiscal year to focus on KPIs for that period.
- Quarters: This slicer allows users to filter data by specific quarters for more granular analysis.

Each KPI shows the current value, status compared to the same period last year, and the comparison value from the previous year.
Cards: There are no additional cards other than the KPIs displayed in the table format.
Visuals:
- KPI Table: A comprehensive table presenting various KPIs for the selected fiscal year, along with their percentage change compared to the previous year. Users can sort and interact with this table to see how each KPI has changed over time.
Overall Functionality: The "KPI" tab provides a detailed snapshot of key performance indicators related to research expenditure. It enables users to track performance year-over-year and analyze changes in restricted and unrestricted spending. This tab is critical for monitoring progress and identifying areas that need attention.

- Additional line charts for Total Federal and Federal on Research show the allocation and growth of federal research funding.

- Charts display the number of faculty involved in research and restricted research activities, allowing users to understand faculty participation trends.

- Total Research: Displays the overall total research expenditure for selected timeframes.
- Restricted Research and Delta: Highlights the changes (delta) in restricted research over the years.

- Bar Chart (Monthly Expenditure): Visualizes research expenditure for each month over multiple fiscal years, enabling comparisons and identifying high/low periods of spending.
- Growth Over Years: A bar chart showing year-over-year growth in total research expenditure, highlighting significant growth or decline.
- Delta Over the Years: This bar chart visualizes the change (delta) in research expenditure over the years to highlight which years saw the most significant increase or decrease.
- Performance by Quarters: This horizontal bar chart breaks down performance by quarters, providing a quick view of how research expenditures are distributed throughout the fiscal year.
Overall Functionality: The "Patterns" tab provides a comprehensive view of monthly and quarterly research expenditure patterns, allowing users to identify seasonal trends and significant changes in spending. Users can leverage this tab to understand how research funds are being utilized throughout the year and compare performance across multiple fiscal years.

- Colleges/Schools, Department: Users can filter the information based on specific colleges, schools, or departments.
- FY (Fiscal Year): Allows selection of specific fiscal years to visualize the top 5 metrics for a particular period.
- Month: Filters data by individual months if needed.
Key Performance Indicators (KPIs):
- # of PIs (Principal Investigators): Displays the total number of PIs contributing to research projects.
- # of Departments and Colleges/Schools: Shows the total number of departments and colleges/schools involved in research.
- # of Sponsors and Projects: Provides a count of sponsors and research projects, giving insight into research activity.
Visuals:
- Top 5 Departments: A bar chart highlighting the top 5 departments with the highest research expenditures, allowing users to see which departments are most active in research.
- Top 5 Contributing PIs: This bar chart displays the top 5 PIs based on their contributions to research funding.
- Top 5 by IDC Recovery: Visualizes the top 5 departments or units based on indirect cost (IDC) recovery, showing which areas are generating the most indirect costs.
- Top 5 Sponsors (w/o Pass-Throughs): Displays the top 5 sponsors providing research funding, excluding pass-through accounts, enabling users to identify the most significant funding sources.
Overall Functionality: The "Top 5s'" tab gives a detailed breakdown of the highest-performing departments, PIs, sponsors, and indirect cost recovery units. This tab is essential for understanding where the most research activity and funding are concentrated within UTRGV. It allows users to identify key contributors and assess which departments or individuals are driving research efforts.

- Total Research/Non-Research: Allows users to differentiate between research and non-research expenditures.
- Colleges/Schools, Department: Filters data by specific colleges, schools, or departments within UTRGV.
- FY (Fiscal Year): Users can select the fiscal year to focus on specific time periods for sponsor data.
- Month: Filters the data by month to view the timeline of federal expenditures.
Key Performance Indicators (KPIs):
- Top 5 Federal Sponsors: Highlights the federal sponsors providing the most funding, including pass-through accounts.
Visuals:
- Horizontal Bar Chart: Displays the top 5 federal sponsors, including NIH/HHS, NSF, Department of Agriculture, Department of Defense, and Department of Transportation, along with the total amount each contributed.
- Detailed Table: A table listing federal agencies, sponsor names, and specific amounts of funding they provided. This table is sortable, allowing users to see detailed information on all sponsors beyond the top 5.
Overall Functionality: The "Top Federal" tab provides insights into the primary federal sponsors contributing to research at UTRGV. It enables users to quickly identify the most significant sources of federal funding and drill down into details of other sponsors. This tab is crucial for understanding the distribution of federal research funding and analyzing sponsorship patterns.

- Colleges/Schools, Department: Filters the expenditures by specific colleges, schools, or departments.
- FY (Fiscal Year): Allows users to select a specific fiscal year for which they want to view expenditure data.
- Months: Filters the data by specific months to observe time-based trends.
- Fund Types: Users can select from various fund types such as federal, state, local, private, gifts, and endowments to see specific expenditure breakdowns.
- Source of Fund: This filter enables users to differentiate between internal and external sources of funds.
- Type of Expenditure: Allows users to view expenditure data specifically related to research or other non-research activities.
- With & Without 997, Function: Users can choose whether to include or exclude the 997 function code in the data.
Key Performance Indicators (KPIs):
- Total Amount ($86.9M): Displays the total research expenditure amount for the selected filters, prominently highlighted.

- Bar Charts (External and Internal Source Types):
- External Source Types: A bar chart visualizing various external fund types (e.g., federal, state, private) and their corresponding expenditure amounts. For example, federal sources contributed $35M in FY2024.
- Internal Source Types: A bar chart illustrating internal fund types and their expenditures, including general funds, organized educational activities, and designated tuition.
Overall Functionality: The "Expenditures by Funds" tab provides a comprehensive breakdown of research spending by different sources of funds, both internal and external. It allows users to explore how funds from various categories (federal, state, private, internal tuition, etc.) are utilized in research. This tab is essential for tracking the allocation of funds and ensuring that resources are being utilized efficiently across UTRGV's research programs.
Access and Support
Access to the dashboard is restricted to authorized personnel, including PIs, department administrators, and financial leads who manage sponsored projects. Users can log in through the institution's secure login system to access the dashboard.
