Space Utilization Dashboard
Purpose and Scope
The Research Space Utilization Dashboard offers a comprehensive view of research space usage across UTRGV. It is designed to track space assignments, analyze utilization efficiency, and link research output to physical space. It supports data-driven decision-making for strategic space planning, resource allocation, and research infrastructure development by combining space and research productivity data.
Data Sources and Structure
Research space data is provided by Strategic Space Planning Department at UTRGV and includes detailed information such as room number, room name, room type, building, associated occupants, departmental affiliation, and square footage. The data is structured at the room level, with each record representing a unique research lab or lab service space. Room assignments are linked to individual employees to enable analysis of space utilization in relation to research activity. Additional data, such as research expenditures, is sourced from PeopleSoft and integrated at the individual level to support outcome-per-square-foot analysis.
Key Metrics and Visualizations
This dashboard focuses on key metrics related to research space distribution and productivity. It provides detailed insights into how research space is allocated across employees, and links individual research outcomes to assigned rooms. By combining room square footage with research expenditure data, the dashboard calculates productivity metrics such as research expenditures outcome per square foot.
User Manual: Space Utilization
- Filters and Slicers:
- Occupation Status: Indicates whether the room is currently associated to an employee.
- Building, Room: Building name and room number that uniquely identify each space.
- College/School, Department, Employee: Filters data based on the occupant’s primary job affiliation.
- Project ID: Filters data based on the sponsored projects linked to the occupant’s research expenditures.
- Fiscal Year: Filters data based on the fiscal year.
- Key Performance Indicators (KPIs):
- Total Expenditures: Total research expenditures linked to assigned employees.
- Total SF: Total square footage of all research and lab service rooms.
- Total SF to Spon Project: Total square footage associated with employees.
- Spon Project Occupation %: Percentage of total space occupied by employees.
- Total $ Per Assigned SF: Total research expenditures per square foot of assigned space.
- Restricted $ Per Assigned SF: Restricted (external funding) expenditures per assigned square foot.
- IDC $ Per Assigned SF: Indirect cost (IDC) recovery-eligible expenditures per assigned square foot.
- # of Rooms: Total number of rooms included in the analysis.
- Visuals:
- Room Assigning Information Cards: Display summary statistics such as the number of rooms, total assigned square footage, and occupancy status, with filters by college and department.
- Expenditures Breakdown: Visualize the distribution of expenditures data across colleges, departments, or employees.
- # of Rooms by Building: Display the total number of rooms per building with the option to drill down to the room level.
- Assigned Square Footage By College/School, Department: Present the total square footage assigned to each college or department to highlight space distribution.
- Expenditures $ Per SF: Display total, restricted, and IDC-eligible research expenditures per assigned square foot, enabling comparisons of research productivity relative to space usage across units.
This page provides a high-level overview of research space utilization and productivity metrics. It allows users to assess how research space is assigned and used across colleges, departments, and individual employees, and to evaluate the alignment between space allocation and research output.

- Research Space Assigned Details: Displays detailed information on research spaces assigned to occupants, including room numbers, building names, square footage, and occupant affiliations.
- Expenditures Details: Shows a breakdown of research expenditures by transaction, project and type (total, restricted, IDC-eligible) linked to assigned occupants.
Overall Functionality:
This page provides users with a comprehensive table displaying the raw underlying data used throughout the dashboard. Users can also download the data directly for further analysis or reporting outside the dashboard.
Access and Support
Access to the dashboard is restricted to authorized personnel, including PIs, department administrators, and financial leads who manage sponsored projects. Users can log in through the institution's secure login system to access the dashboard.
