User Guide: Completing the Upload Documents Section in ARGO-SPI

Purpose: The Upload Documents section allows users to attach essential files related to the proposal, ensuring that all supporting documents are available for review by the Office of Sponsored Programs (OSP). 

Sections and Field Requirements

  1. Document Category (Required)
  • Select the category that best describes the document being uploaded. Categories include:
    • Additional Subrecipients: Attach documents if there are additional subrecipients beyond the primary collaborators.
    • Budget Narrative: Upload a detailed narrative explaining the project’s budget.
    • Budget Template (Excel): Attach an Excel template of the budget, as required by OSP.
    • Compliance: Include compliance-related documents, such as IRB or IACUC approvals.
    • Cost Share: Attach any cost-sharing agreements or related documents.
    • Final Proposal: Upload the final version of the proposal.
    • Notice of Award: Attach any official award notification received.
    • Other Documents: Include additional documents that do not fall under other categories.
    • Pre-Proposal: Upload any preliminary proposal documents.
    • Scope of Work/Project Summary: Attach a summary detailing the project’s scope and objectives.
    • Sponsor or Agency Guidelines: Upload any specific guidelines or requirements from the sponsor.
    • Subrecipient Documents: Include documents related to subrecipients or collaborators.
  1. Select File (Required)
  • Click Choose File to browse and select the file to upload. Allowed formats include .pdf, .doc, .docx, .csv, .xls, .xlsx, .ppt, .pptx, .jpg, .jpeg, .png, .bmp, and .gif. Each file must be less than 50 MB.
  1. Upload Notes
  • Enter any relevant notes that provide context for the document. This field helps clarify the purpose or contents of the document for OSP reviewers.
  1. Upload Button
  • Click Upload to add the document to the proposal record. Once uploaded, the document will appear in the Uploaded Documents table below. 

Additional Features

  1. Uploaded Documents Table
    • This table displays a list of all uploaded documents, including:
      • File Name: The name of the uploaded document.
      • Category: The selected category for each document.
      • Notes: Any notes entered during upload.
      • Uploaded By: The individual who uploaded the document.
      • Remove: Option to delete the document if a correction or update is needed. 

Additional Steps

  1. Verify Document Types: Ensure that each document is categorized correctly and complies with OSP requirements.
  2. Review File Size and Format: Confirm that the file is under 50 MB and in one of the accepted formats.
  3. Complete All Document Uploads: Ensure all required documents are uploaded before submitting the proposal for OSP review.
