Introduction to Sponsored Program Intake (SPI) in ARGO

The Sponsored Program Intake (SPI) is a user-friendly tool within ARGO designed to streamline the proposal submission process for sponsored research projects. By integrating various aspects of proposal management, SPI ensures that faculty, researchers, and staff can prepare, review, and submit proposals efficiently. SPI simplifies compliance with institutional guidelines, making it easier for researchers to secure funding and comply with necessary approvals.

Why SPI is Easy to Use

SPI in ARGO is crafted with ease of use in mind, allowing users to follow a structured and intuitive workflow. The system provides a clear, step-by-step interface that guides researchers through essential sections, including Proposal Details, Funding Sources, Compliance, and more. Additionally, built-in features like pre-configured forms, automated routing for approvals, and an integrated document upload system make the process seamless, reducing the complexity of proposal submission.

How to use SPI in ARGO

  1. Initiating a Proposal:
    • Start by filling out essential details in the "Proposal Details" section.
    • Proceed to fill in specifics in "Proposal Information" and identify the "Funding Source."
  2. Adding Key Personnel and Collaborators:
    • List all contributors in "Key/Senior Personnel" and detail any collaborators in "Subrecipient/Collaborator."
  3. Ensuring Compliance:
    • Complete the "Compliance" section, answering questions related to IRB, IACUC, and other regulatory requirements.
    • Provide protocol numbers and other details if applicable.
  4. Submitting for OSP Review:
    • After entering all necessary information, check the acknowledgment box in the "Submit for OSP Review" section to initiate the OSP review.
  5. Uploading Supporting Documents:
    • Use the "Upload Documents" section to add files. Select the document category, upload the file, and provide any relevant notes.
  6. Monitoring Approvals and Status:
    • Track the progress of your proposal through the "Approver Review" and "Key Personnel Review & Certifications" sections.
    • On the "Status" page, users can view proposal updates, communications, and changes, as well as download a PDF version of the proposal.

  1. Proposal Details:
    • This section captures the essential information about the research proposal, including title, abstract, and project duration.
    • Users can easily fill in the required fields to ensure the proposal aligns with institutional requirements and sponsor expectations.
  2. Proposal Information:
    • Provides additional specifics on the proposal, such as budget and departmental affiliations.
    • This section helps in aligning the project’s objectives with departmental goals and external funding requirements.
  3. Funding Source:
    • Allows users to specify the sources of funding and potential sponsors.
    • Clear categorization ensures compliance with financial regulations and facilitates the management of project funds.
  4. Key/Senior Personnel:
    • Lists all key personnel involved in the project, specifying roles and responsibilities.
    • Ensures that all contributors are properly acknowledged and that roles align with sponsor requirements.
  5. Subrecipient/Collaborator:
    • Enables users to add information about external collaborators or subrecipients.
    • The section helps in documenting partnerships and ensuring compliance with subrecipient monitoring requirements.
  6. Compliance:
    • SPI includes dedicated sections for IRB, IACUC, and other compliance-related checks.
    • This ensures that all ethical, safety, and regulatory guidelines are met, streamlining approvals and reducing delays.
  7. Submit for OSP Review:
    • Researchers can initiate an internal review by the Office of Sponsored Programs (OSP) by checking a simple acknowledgment box.
    • This submission triggers a review process, helping ensure that the proposal meets all institutional and sponsor requirements before final submission.
  8. Communication:
    • A dedicated area for exchanging messages and clarifications between users and administrators.
    • Allows users to create topics, send messages, and track communication history, ensuring clarity and transparency.
  9. Upload Documents:
    • Researchers can upload all necessary documents, categorized by type (e.g., Budget, Compliance, Final Proposal).
    • This feature supports various file types and keeps the proposal package organized for quick reference during review.
  10. Approver Review & Key Personnel Review:
    • SPI includes sections for sequential approvals, allowing designated reviewers to confirm compliance and provide comments.
    • Approvers can review the proposal PDF, either approving or providing feedback for modifications.
  11. Status Page:
    • Tracks the proposal's current status, showing key updates, communication logs, and change history.
    • Users can export the proposal as a PDF from this page, facilitating detailed review and record-keeping.

Exporting the Proposal as a PDF

SPI in ARGO provides an easy way to export the proposal as a PDF. The "Export Proposal (PDF)" button is available on multiple pages, including the Approver Review, Key Personnel Review & Certifications, and Status pages. This functionality allows approvers and users to download the proposal for thorough review, ensuring all components meet sponsor and institutional standards. 

SPI in ARGO is a comprehensive, user-friendly tool for managing the proposal submission process. By simplifying compliance checks, integrating document management, and streamlining the approval process, SPI enables researchers to focus on the quality of their proposals, enhancing the likelihood of successful funding.
