Expense Classification

Purpose and Scope

The dashboard offers a detailed view of UTRGV's expenses, categorized by expense codes and classifications. It is designed to track, analyze, and manage monthly and annual spending patterns across departments, aiding in budget oversight and compliance.

Data Sources and Structure

Data is sourced from UTRGV’s financial systems, segmented by expense codes, fiscal years, departments, and sponsor types. The data is structured to display monthly breakdowns and aggregate totals for research and non-research expenditures.

Navigation and User Instructions 

Users can navigate using filters such as:

  • Department, FY, and Month: To refine the view based on timeframes and departments.
  • Expense Classification, PI Name, Project ID: To focus on specific expense categories or projects.
  • A Reset button allows clearing selections for a default view.

Key Metrics and Visualizations

  • KPIs: Display total research, non-research, and combined expenses.
  • Quadrants Summary: Shows restricted, unrestricted, and overall totals.
  • Expense Table: Provides a detailed, expandable view of expenses per month, categorized by expense codes, with interactive sorting capabilities for analysis.

User Manual: Expense Classification

Filters and Slicers:

  1. Colleges/Schools, Department Name: Allows users to filter expenses by specific departments or colleges within UTRGV.
  2. FY (Fiscal Year): Filters data based on the selected fiscal year (e.g., 2024) to view expenses for that period.
  3. Month: Users can choose specific months or view the entire fiscal year.
  4. Expense Classification, Description: Enables filtering by specific expense categories or descriptions for detailed analysis.
  5. PI Name, Project ID, Cost Center: Focuses on expenses linked to specific PIs, projects, or cost centers for a targeted view.
  6. Activity Type: Filters expenses by different types of activities (e.g., research vs. non-research).
  7. Source or Sponsor Type: Users can select expenses based on the type of funding source or sponsor type.

Key Performance Indicators (KPIs):

  • Total Research, Non-Research, and Overall Totals: The dashboard highlights total expenses for research, non-research, and combined categories, giving a clear snapshot of spending distribution.

Cards:

  • Quadrants Summary Card: Displays key figures like:
    • Restricted: Shows the total restricted expenses for research and non-research categories.
    • Unrestricted: Displays unrestricted expenses for both categories.
    • Total: Provides a grand total for all combined expenses.

Visuals:

  1. Expense Table:
    • Monthly Expense Breakdown: This table lists expenses by category (e.g., benefits, bad debt) for each month. Users can expand categories to view detailed sub-expense lines.
    • Interactive Columns: Users can click to sort data by different months or categories, allowing for a comparative view of expenses across the fiscal year.

Overall Functionality: The "Expense Code Classification" tab provides an in-depth analysis of expenses segmented by classification, department, and timeframe. It enables users to monitor spending patterns, compare monthly and yearly trends, and drill down into specific expense codes for detailed insights. This functionality supports budget tracking, financial planning, and compliance monitoring for UTRGV’s financial activities.

 

Access and Support

Access to the dashboard is restricted to authorized personnel, including PIs, department administrators, and financial leads who manage sponsored projects. Users can log in through the institution's secure login system to access the dashboard.

  • Training and Resources: Training sessions and user guides are available upon request to help users navigate the dashboard and utilize its features effectively.
