Graduate Course Demand Tracker
Purpose and Scope
The Graduate Course Demand Tracker is designed to deliver a comprehensive view of course enrollment patterns, indicating both courses with active enrollment and those pending enrollment. By providing this insight, the tool supports academic colleges in making data-driven decisions about future course offerings, ensuring that scheduling and resource allocation are effectively aligned with student demand and institutional requirements.
- Student Enrolled/Needed Courses: Tracks the current enrollments of graduate level courses and indicates which active graduate student are pending degree required courses.
- Historic Course Offering: List out all courses that were taught throughout the given academic year.
- Course Prerequisite & Corequisite: List out all course prerequisite & corequisite (if any) for the current academic year.
The dashboard aims to support proactive decision making to ensure courses that are in high demand are available to maximize the number of graduates all year round.
Data Source and Structure
The dashboard integrates data from SAIR Doctoral Reports (starting Fall 2015) and Banner, focusing on critical data points such as:
- Credit hours earned per term
- Dissertation hours
- Enrollment and demographic information
- Academic standing and lifecycle progression
The data is processed and visualized using Power BI, allowing for real-time tracking and analysis of student data.
Key Metrics and Visualizations
Key metrics include:
- Enrolled Graduate Students: Displays the number of graduate student enrolled for given term and course.
- Graduate Students Pending Needed Course: Displays the number of active graduate student who are still pending a needed course and have not enrolled in one yet.
Visualizations include interactive bar charts, line graphs, and tables enabling users to explore the data from various perspectives and make informed decisions regarding student and program outcomes.
Filters and Slicers:
- Program Level: Filters data based on the level of the graduate program (e.g. Masters or Doctoral)
- College/Program: Allows filtering by college and program major.
- Course, Subject, Course Level, DW Section Rule: Filters data based on the course, course level, subject, and Degree Work Section rule.
- Program Completion %: Filter by program completion percentage.
Key Performance Indicators (KPIs):
- Enrolled Students Courses: Shows the list of enrolled courses for each graduate student.
- Needed Students Courses: Shows the list of needed and not yet enrolled courses for each active graduate student.
Visuals:
- Enrolled Courses Table: Lists individual courses and their number of enrollment for the current and upcoming term.
- Needed Courses Table: Lists individual course still needed, indicate if it is a may take or must take course, the number of active graduate student still pending them, and whether the course has any prerequisite or corequisite.
Overall Functionality:
This page tracks each individual graduate students and their enrolled courses for the given academic year in a simple to read format.
Filters and Slicers:
- Program Completion %: Filter by program completion percentage.
- Student Name (ID): Filter by specific graduate student.
- Course, Subject, Course Level: Filters data based on the course, course level, and subject.
Cards:
- # of Students: Displays the number of graduate students currently on display.
- # of 100%: Displays the number of graduate students who are in the 100% degree completion bracket.
- # of 90% - 99%: Displays the number of graduate students who are in the 90% - 99% degree completion bracket.
- # of 60% - 89%: Displays the number of graduate students who are in the 60% - 89% degree completion bracket.
- Program Completion % Color Legend: Displays the color legend for the program completion % column.
Key Performance Indicators (KPIs):
- Needed Students Courses: Shows the list of needed courses, whether it is a may take or must take course, for each graduate student.
- Program Completion %: Shows the program completion percentage for each graduate student and how close they are to earning their degree.
Visuals:
- Course Needed for Active Student Table: Lists individual graduate students and their needed and not enrolled yet courses, their full name, program completion percentage, program code, program name, concentration (if any), and whether if they have enrolled yet.
Overall Functionality:
This page tracks each individual graduate students and their needed and not enrolled yet courses pulled from Degree Works in a simple to read format.
Filters and Slicers:
- AY: Filters data based on the selected academic year.
- Faculty Name: Filters data based on selected faculty member.
- Course Level, Subject, and Course Number: Filters data by course level, type, subject and course number.
Cards:
- # of Course Taught: Displays the number of courses being taught currently on display.
- # of Faculty Teaching: Displays the number of faculty member currently on display.
- Selected Course: Displays the course that is currently selected.
- Term Offered: Displays the type of term the course is usually offered for the selected course.
- Last Term Offered: Displays the last term offered for the selected course.
- Schedule Type: Displays the schedule type for the selected course.
- Last 5 Faculty: Displays the five faculty member who taught the selected course.
Key Performance Indicators (KPIs):
- # of Courses Taught: The total number of courses and subjects being offered by UTRGV for the given academic year.
Visuals:
- Course Catalog Table: List out the academic year, the semester, the schedule type code, the course, subject, the course number, the section number, the course title, the course credit hours' worth, and the faculty member who taught each course that were being offered by UTRGV for the given academic year.

- Course Level, Subject, and Course Number: Filters data by course level, type, subject and course number.

- # of Courses, Subject: The total number of courses and subjects being offered by UTRGV for the current academic year.
Visuals:
- Course Prerequisite & Corequisite Table: List out the course, the prerequisite (if any), the corequisite (if any), and each prerequisite and corequisite courses requirements for the current academic year.
Overall Functionality:
This page tracks and displays the number of courses their prerequisite and corequisite (if any) for the current academic year.
Filters and Slicers:
- Program: Filters data based on the selected program.
Cards:
- Q&A Instructions: Displays the instructions on how to use Power BI's Q&A feature.
Visuals:
- Q&A: Utilize Power BI's Q&A feature that allow user to input their question and have the system output an answer that uses the data that is available.
Overall Functionality:
This page allows user to interact with the data in an interactive manner by asking questions about the data and receiving an answer in real time.
