GPC Workload-DI
Purpose and Scope
The GPC Workload Dashboard provides a comprehensive overview of UTRGV's graduate program coordinators (GPC), tracking their work and contribution to the university. It is designed to help administrators monitor and analyze the productivity and workload of GPCs as they continue to further the university's goals and commitment to research and student success. The areas that are currently being tracked are dissertation/thesis committee involvement, teaching load, number of proposals submitted, number of awards funded, and expenditures. The dashboard aims to support proactive decision making to ensure proper support are available for the GPCs.
Data Sources and Structure
The dashboard integrates data from SAIR Doctoral Reports (starting Fall 2015) and Banner, focusing on critical data points such as:
- Credit hours earned per term
- Dissertation hours
- Enrollment and demographic information
- Degree completions
- Academic standing and lifecycle progression
The data is processed and visualized using Power BI, allowing for real-time tracking and analysis of student data.
Key Metrics and Visualizations
Key metrics include:
- Committee: Displays the number of committees the GPC is currently involved with.
- Teaching Load: Displays the number of courses being taught by the GPC.
- Proposals: Display the number of proposal submitted and the total requested amount.
- Awards: Display the number of awards funded and the total funded amount
- Expenditures: Displays the research and total expenditures amount.
Visualizations include interactive bar charts, line graphs, tables, and heatmaps, enabling users to explore the data from various perspectives and make informed decisions regarding student and program outcomes.

Filters and Slicers:
- Fiscal Year: Filters data based on the fiscal year.
- Committee Roles, Status: Filters students based on committee roles and active status of the committee.
- College/School & Major: Filters data based on the selected college or major.
- GPC: Filters data based on faculty who are currently serving the role as GPC.
Key Performance Indicators (KPIs):
- Committee: Displays the number of committees the GPC is currently involved with.
- Teaching Load: Displays the number of courses being taught by the GPC.
- Proposals: Display the number of proposal submitted and the total requested amount.
- Awards: Display the number of awards funded and the total funded amount
- Expenditures: Displays the research and total expenditures amount.
Visuals:
- # of Committee by College: Display the total number of committees currently on file by college with the option to drill down to the GPC level.
- # of Proposals Submitted by College: Display the total number of proposals submitted by college with the option to drill down to the GPC level.
- # of Courses Taught by College: Display the total number of courses being taught by college with the option to drill down to the GPC level.
- GPC Overall Workload Table: Display the overall workload of the university's GPCs by showing the number of committees they are involved in, the # of courses being taught, the number of proposals submitted, the total requested amount, the number of awards funded, the total funded amount, the total expenditures amount, and the research expenditures amount.
Overall Functionality:
This page provides a high-level overview of the workload each GPC are currently involved with. Users can filter by various categories to see insights on specific colleges, programs, and GPC.
Filters and Slicers:
- College/School, Major, Level: Filters data based on the selected college or major.
- Faculty: Filters committee based on selected faculty.
- Approval ID: Filters by based on the Approval ID for the committee.
Key Performance Indicators (KPIs):
- # of Total Committees: Displays the total number of committees.
- # of GPCs as Chair, Co-Chair, Members: Displays the total numbers of GPCs in the different roles they are serving in the committees they are involved with.
Visuals:
- Committee Data Table: A detailed table that list out the committee information that are currently on file.
Overall Functionality:
This page provides a comprehensive overview of the committees that are currently on file, listing out each members, the status of the committee, and which college/school they fall under based on the student's program.
Filters and Slicers:
- Subject, Course #, Type Code: Filters data based on the course subject, course number, and course type.
- Faculty: Filters data based on the selected faculty.
- Semester: Filter data based on the semester.
- Academic Year: Filters by based on the academic year.
Key Performance Indicators (KPIs):
- # of Faculty: Displays the total number of faculty who were teaching courses.
- # of Courses and Subject: Displays the total number of courses and subjects being taught by faculty.
Visuals:
- Teaching Load Data Table: A detailed table that list out the teaching load information for the faculty who were teaching courses at UTRGV.
Overall Functionality:
This page provides a comprehensive overview of the teaching load of faculty at UTRGV, listing out the faculty name, the semester being taught, the course subject, the course number, the CRN, the section number, the schedule type code, the course title, and the course schedule credit hour worth.
Filters and Slicers:
- College/School: Filters data based on the selected college/school.
- Employee Name: Filters data based on the selected employee.
- Role: Filter data based on the role on the proposal.
- Fiscal Year: Filters by based on the fiscal year.
Key Performance Indicators (KPIs):
- # of Proposals: Displays the total number of proposals that were submitted.

- Proposal Data Table: A detailed table that list out the proposal information for the employees who submitted with UTRGV.
Overall Functionality:
This page provides a comprehensive overview of the proposals submitted at UTRGV, listing out the employee name, their role, the shared credit percentage, the shared credit amount, the start and end date, the center number, the proposal number, the project title, the sponsor ID, the sponsor name, the CFDA number, and the coordinator ID.
Filters and Slicers:
- Role: Filter data based on the role on the awards.
- Month: Filters data based on the month the awards was funded.
- Fiscal Year: Filters by based on the fiscal year.
Key Performance Indicators (KPIs):
- Total Funded $: Displays the total funded amount for all awards.
- # of Proposals: Displays the total number of awards funded.
Visuals:
- Awards Data Table: A detailed table that list out the proposal information for the employees who submitted with UTRGV.
Overall Functionality:
This page provides a comprehensive overview of the awards granted, listing out the fiscal year, the month, the period, the awarded funded date, the proposal number, the project ID, the start and end date, the employee name, their role, the shared credit percentage, the shared credit amount, the total funded amount, the sponsor ID, the CFDA number, the center number, project title, and the source.
Filters and Slicers:
- Faculty: Filters data based on the selected faculty.
- Fund and Function: Filter data based on the fund and function code.
- Fiscal Year: Filters by based on the fiscal year.
Key Performance Indicators (KPIs):
- Total Amounts: Displays the total expenditure amount.
- # of Projects, # of Cost Centers: Displays the total number of projects and cost centers.
Visuals:
- Expenditures Data Table: A detailed table that list out the expenditures data that were reported.
Overall Functionality:
This page provides a comprehensive overview of the expenditures data that were reported, listing out the fiscal year, the period, the project, the cost center, the employee ID, the employee name, their role, the shared credit percentage, the amount, account number the PI IDC, the ORU IDC, the reporting unit IDC, the VP Unit IDC, the contract number, the sponsor ID, the sponsor name, the CFDA, the fund code, the function code, the description, the capital project, and the ERU flag.
Access and Support
Access to the dashboard is restricted to authorized personnel, including PIs, department administrators, and financial leads who manage sponsored projects. Users can log in through the institution's secure login system to access the dashboard.
