Onboarding: Start Here

Four self-paced tracks. Everyone does Foundations first, then the one track that matches their role.

How this works

  • Work with the portal open beside you. Every module ends with something to actually do. Reading alone will not stick.
  • Do Foundations first. Two ideas underpin everything else, and skipping them is why most new users get stuck later.
  • Then do your track, and only your track. Managers are the exception — they do the Editor track too, because Managers can do everything an Editor can.
  • Check yourself as you go. If you cannot answer a check question, re-read that module before moving on.

Running a group session instead? The facilitator pack has the same diagrams with timings, talking points and the one thing each group must leave with. Ask the Office of Academic & Research Analytics and Digital Solutions for the training diagram pack.

Foundation - Everyone, 10 minutes

Module F1

What a roadmap is made of

5 min

By the end of this module, you can explain, in your own words, what a course slot is and why it is not always a single course.

What a roadmap is made of

Read this before anything else. Everything you build in the portal is a slot.

  1. 1 Roadmap

One program + concentration + campus + catalog year.

    Bilingual Education — BS — Brownsville — 2026–2027
Has its own record, status and approval history.

  2. 2 Four years

    Year 1 · Year 2 · Year 3 · Year 4

    • Year 1
    • Year 2
    • Year 3
    • Year 4
  3. 3 Semesters

    Each year holds several semesters.

    • Fall
    • Spring
    • Summer I
    • Summer II
    • Summer
  4. 4 Course slots

One row per requirement. This is the unit you build.

A slot is a POSITION in the plan—not always a named course

It may be exactly one course (HIST 3300), or a choice among several approved courses (“Choose 1 of 5 Communication core courses”).

  5. 5 What every slot carries

Set once in the requirement wizard.

    • Requirement type Which of the five kinds it is
    • Options The course or courses on offer
    • Locations Campuses and modality
    • Prerequisites Detected or chosen
    • Notes Guidance shown to students

WHAT TO TAKE FROM THIS

  • A roadmap is one program + concentration + campus + catalog year. Change any of those four and it is a different roadmap.
  • A slot is a position in the plan, not necessarily a named course. It may offer the student a choice among several approved courses.
  • Everything a slot carries — its type, options, locations, prerequisites and notes — is set in one place: the requirement wizard.

TRY IT IN THE PORTAL

  1. Sign in and open any published roadmap with the eye icon.
  2. Pick a single row in Year 1 Fall and click the three dots to open the slot detail.
  3. Read the Options tab. Note whether that slot is one fixed course or a choice, and how many choices the student gets.
CHECK YOURSELF

No. A slot may be exactly one named course, or a choice among several approved ones — for example ‘choose 1 of 5 Communication core courses’.

No. Campus is part of what identifies a roadmap, so those are two separate records with separate approval histories.

Module F2

Who can do what

5 min

By the end of this module, you can say which role you have, what it lets you change, and why you can see things you cannot edit.

Who can do what

Each role contains the one inside it. Reviewer works differently.

Manager

Everything an Editor can do, plus:

  • Assign reviewers to a submission
  • Start the review and notify reviewers
  • Grant portal access to other people
Editor

Everything a View Only user can do, plus:

  • Edit an existing roadmap
  • Duplicate a roadmap
  • Add a New Roadmap
  • Run Catalog Year Rollover
  • Submit a roadmap for review
View Only

Every user can:

  • Browse, filter and search every roadmap
  • Open any roadmap read-only
  • See all reference tables

Manager assigns → Reviewer

Reviewer

Reviewer is not an access level. You become a reviewer only when a Manager assigns you to one specific submission.

  • Approve
  • Request Change
  • Reject

The rule to remember

Access controls what you can change, not what you can see. Every role sees every roadmap, published or not, and every reference table.

  • View Only
  • Editor
  • Manager
  • Reviewer

Roadmap Portal · Training diagram 2 of 9

Each role contains the one inside it. Reviewer sits outside and works differently.

What to take from this
  • The three access levels nest: a Manager can do everything an Editor can, and an Editor everything a View Only user can.
  • Access controls what you can change, not what you can see. Every role sees every roadmap, published or not, and every reference table.
  • Reviewer is not granted in advance. You become a reviewer when a Manager assigns you to one specific submission.

TRY IT IN THE PORTAL

  • Look at the left navigation. If Add New Roadmap and Catalog Year Rollover are greyed out, you have View Only access.
  • Look at any result row on Browse Roadmaps. Count how many icons are active: one means View Only, three means Editor or Manager.
  • Open Roadmap Workspace. If you can see the Manage Reviewers tab, you are a Manager.
CHECK YOURSELF

Almost certainly not hidden. Every role can see every roadmap. They probably mean they cannot edit it, which is their access level working as designed.

None. Being assigned to the submission by a Manager is itself what grants access.

Now pick your track

View Only You read roadmaps. You do not change them. 15 min → Editor You build and revise roadmaps and send them for approval. 50 min → Manager Editor track first, then the review process. 25 min + Editor → Reviewer Department Chairs and Student Success Directors. 20 min →
