Returning UTRGV student and assistantship employees

To rehire student employees who worked for the University either in the Summer or Fall of 2023, please submit a Change of Job Data(CJD). Besides completing all the required fields on the CJD, it is very important to include the employee ID, student ID, UTRGV email address, and date of birth (MM/DD) for quicker processing.

Student employees

New student employees working at UTRGV for the first time or returning student employees, who have not worked for UTRGV within the last six months, must submit the required documents listed below upon their first day of employment.

  • I-9 Employment Eligibility Form Online: The I-9 form is a two-step process, and the employee will need to complete all required fields on the link below.
    • Step 1: Complete the I-9 Employment Eligibility Form.
    • Step 2: Please present original and unexpired documents for I-9 employment eligibility verification purposes to the Office of Human Resources. (If you have any questions, please contact The Human Resources Office – 956-665-2451 or 956-882-8205).

  • Onboarding paperwork – New student employees or returning students after 6 months of break. Please complete the following:
    • Biographical form
    • Criminal Background Check (CBC) – The student must submit the criminal background check application.
      • The CBC is required for:
        • New student employees
        • Student employees with six months of break in service within the last 12 months
        • Change in status (Student/Temporary to Staff position)
        • Transfers or title change unless excluded below
      • CBC will not be required for:
        • A title change with no change in current responsibilities
        • A career/title progression within the employee’s current department
        • Direct Wage, Work-Study, or SEI employee who is transferring to another department with the same related classification

Work-study student employment information

As a reminder, all students earning wages through work-study employment will be funded 100% through the work-study program. The hiring departments will no longer need to create NHF or CJD for potential work-study employees. The supervisors need to ensure to complete the New Student Employment Work-study Process Training available on blackboard to be able to access and submit the Online Work-study Request form to hire any work-study student employee. Assistantship information

For new hires under the assistantship program, the hiring department will need to create a posting, select the most qualified candidate, and submit a hiring proposal (NHF not available). For additional information on new assistantship hires, please contact assistantships@utrgv.edu.

Position number information

It is very important that no more than one employee is tied to a position number at the same time. The departments must keep track of which position numbers are being used. The position numbers can be reused only if the position is vacant. The elements of the position number can be changed except for the department or the job title. Since positions belong to a department and job titles carry additional coding for other purposes, we ask that you do not change these two elements. If a new position number is needed, please follow the position control instructions.
