Travel Policies

When planning a trip, be aware of the following guidelines:

When traveling domestically (within the U.S.)

When traveling domestically (within the U.S.) you MUST complete and submit the TRAVEL AUTHORIZATION REQUEST (in iShop, within PeopleSoft). iTravel requests for domestic travel cost reimbursement submitted without the Travel Authorization Request form will NOT be processed.  Please contact (956) 665-2612 for questions or email travel@utrgv.edu.

When traveling to a foreign country

When traveling to a foreign country:  You MUST complete the Request for Approval to Travel to Foreign Countries (in iShop, within PeopleSoft) and submit for appropriate approval at least six (6) WEEKS PRIOR to the travel date. Requests submitted late or when the requestor is already en-route to the travel destination WILL NOT BE APPROVED and travel costs will NOT be reimbursed.   Please contact (956) 665-2612 for questions or email travel@utrgv.edu.

When taking a laptop with you on your foreign travels

When taking a laptop with you on your foreign travels: All technology traveling to a foreign country also requires a review by Export Control. Insecure technology can result in information breaches, theft of intellectual property, and even risks to national security. Contact David Sundvall, Research Integrity and Export Controls Officer, at david.sundvall@utrgv.edu.

 

When planning travel to a restricted country

When planning travel to a restricted country: (a foreign country on a Travel Warning as per the U.S. Department of State) additional approval by the International Oversight Committee (IOC) will be required. Some areas of the world present heightened health and safety risks and travel to these locations may require additional efforts to mitigate risk and, at times, call for the avoidance of travel altogether.
