Case Management

Roles of a Case Manager

Case Managers support UTRGV students facing a wide range of challenges, including mental health concerns, academic difficulties, relationship issues, food insecurity, and other personal crises. Through individualized support, we provide resources, referrals, education, and expert guidance to help students identify their needs, overcome barriers, and navigate complex systems—empowering them to stay on track and achieve their goals. Our services are free and available to all enrolled undergraduate, graduate, and professional students at UTRGV. Students can request support by submitting a referral through Vaqueros Report It! (utrgv.edu/reportit) or by contacting us directly. Faculty, staff, peers, and parents are also encouraged to refer a student if they’re concerned about their well-being.

The Dean of Students Office, in collaboration with campus partners, leads efforts to make well-being a central part of the student experience. Departments across the university work together to strengthen health-promoting initiatives by coordinating strategic programs that align with UTRGV’s mission and its commitment to student health and well-being.

  2. How do I refer a student to Case Management?

    You can refer a student by:

    • Submit a referral through utrgv.edu/reportit.
    • Sharing our contact information with the student so they can reach out directly

  3. Are Case Managers confidential?

    Case Managers operate under the Family Educational Rights and Privacy Act of 1974 (FERPA). This means:

    • Conversations are private but not confidential.
    • Information is only shared on a need-to-know basis with relevant university personnel, such as academic advisors or financial aid counselors, to support the student.
    • Case Managers cannot share student information with anyone outside the university—including parents—without the student’s written permission.

  4. Can a parent contact the Case Management Department or submit a report?

    Yes. Parents are welcome to:

    • Call the Case Management Office
    • Submit a report via utrgv.edu/reportit.

    They may request that a Case Manager reach out to their student or ask for guidance on how to support their student.

    Please note:

    Case Managers cannot share specific student information (e.g., grades, class schedules, financial details) without the student's written consent. However, they can share general information about university policies, procedures, and available resources.
