At times, you may be concerned about a student’s well-being. You are encouraged to bring this to a Case Manager’s attention by submitting a referral through Vaqueros Report It! (utrgv.edu/reportit). Use this response protocol chart (PNG) to help determine the appropriate contact when a student is in distress.

  1. How do I refer a student to Case Management?
    • Submit a referral through utrgv.edu/reportit.
  2. What is the difference between Case Management and the Counseling Center?
    • Case Management offers problem-solving support, resource connections, and advocacy for challenges impacting a student’s academic or personal success—similar to the role of a social worker.
    • Mental Health Counseling provides therapeutic services focused on mental health, emotional resilience, and wellness.
  3. How do I know if this issue is appropriate for Case Management?
    • Review this response protocol to help determine who to contact.
    • If you're concerned about a student's well-being, it's appropriate to refer them—unless it involves a Title IX issue. If Case Management isn't the right resource, we will help direct the student to the correct office.
    • If the student is hesitant to contact the Counseling Center, Case Managers can help address their concerns, normalize the experience, and support the connection to counseling.
    • Important: Case Management is not the appropriate office for concerns related to sexual assault or misconduct. These must be referred to Title IX. For confidential support, students should be referred to OAVP.
  4. Are Case Managers confidential?
    • Case Managers operate under the Family Educational Rights and Privacy Act (FERPA). This means conversations are private, but not confidential. They share information only on a need-to-know basis with university officials involved in supporting the student.
    • They cannot share student information with anyone outside the university—including parents—without written permission from the student.
  5. How should I respond to a student showing signs of distress?
    • Begin with our Faculty & Staff Response Guide (PDF) to determine how best to support a student in distress.
