Requesting Resources for Visiting Scholars

Here is the procedure: In order to get the visiting scholars library services activated, the scholar/researcher will first need to obtain a Guest account for a utrgv.edu email address and ID number from Human Resources.  For this, please fill out the Person of Interest request form on the HR website. If the scholar is here on a non-pay status, there is no need to provide a Social Security Number. The scholar will receive an activation email to their personal email address to obtain access to their new utrgv.edu email address.

Once the record has been created, please e-mail a request for a Visiting Scholar ID badge to Campus Card Services, it should include the Cost Center Manager's approval to bill for the $12 fee for the ID badge and the Cost Center to which the ID badge cost should be billed. Please contact Campus Card Services at cardservices@utrgv.edu for further instructions.

Once your request is processed, you will receive notice and further instructions from Campus Card Services saying when the visiting scholar may visit the V OneCard office to pick up the Guest ID badge. The V OneCard Office is located at the Campus Store (BSTOR) on the Brownsville campus and at the Student Union (ESTUN 2.310) on the Edinburg campus. Please have the visitor take his/her passport when he/she picks up their ID badge. Once he/she has secured his/her Guest ID badge, he/she may proceed with getting the Library Privileges activated.  

To activate Library Lending Privileges for scholars, your Administrative Assistant or Department Project Manager must submit the online Library Privileges Authorization Form. Please allow one business day for processing. If you have any questions, then please feel free to email: circulation@utrgv.edu.

You will be notified when privileges have been granted via email. After you receive email notification, you may ask the visitors to take their Guest ID badge to the library front desk to have their library services activated.

To request Computer Access, the department should complete the UTRGV IT Access Request and then route the form to Ms. Esmeralda Badillo esmeralda.badillo@utrgv.edu, please also copy Mr. Frank Zecca frank.zecca@utrgv.edu and our office at global.initiatives@utrgv.edu. It's up to the department to determine the type of access for the visiting scholar.

Export Control

The UTRGV's policy is to fully comply with all applicable laws, regulations and contractual requirements related to export controls. This includes, but not limited to the Export Administration Regulations (EAR) administered by the Department of Commerce, the International Traffic in Arms Regulations (ITAR), administered by the Department of State and the Office of Foreign Assets Control (OFAC) administered by the Department of Treasury. The successful implementation of the university policy requires compliance by each member of the university community.

Export laws specifically regulate the distribution of strategically important technology, services and information to foreign nationals and foreign countries to protect national security, foreign policy, and national economic goals.
