Risk Management

It is mandatory that student organizations complete training and subsequent Risk Management assignments to be recognized and be in good standing for the current academic year. Failure to comply will result in a loss of recognition for the remainder of the year. Organizations that do not complete the Risk Management requirement by the stated deadline will be unable to regain active status until the following academic year, in Fall 2023. The penalty for non-adherence to this policy will result in the organization’s loss of recognition with the Center for Student Involvement. With the loss of recognition, an organization will be marked as frozen on V Link, all UTRGV privileges such as room reservations, event approvals, and student organization services will be revoked.

If your organization needs to designate a new officer to complete this requirement, please have them email the Student Organizations team at getinvolved@utrgv.edu. Please note that the designation of a new officer will NOT extend the established deadline for completion for your organization.

The steps for completing Risk Management Training and the required subsequent assignments are identified below. For your convenience, we will provide and reference materials including a how-to guide for pulling a participant report on zoom, an example of a meeting zoom screenshot or an in-person group photo, and a sample constitution to guide you in creating a risk management plan for your student organization.

Step 1

Two (2) designated officers from each organization will be required to study and prepare a Risk Management Training session for their student organization. The information to conduct your meeting can be viewed here: Risk Management Training 2022-2023

Step 2

When planning your training, you will need to make sure the training is registered and approved through V Link.

Step 3

In order to meet training compliance, at least 75% of your membership will need to be present during the training.

Virtual Meeting

As proof, you will need to 1) save a participant report of those that attended the training and 2) take a screenshot that captures your training participation.

In-Person Meeting

As proof, you will need to 1) Upload an attendance sign-in sheet 2) Take a group photo with all members who attended the training

Step 4

Upon completion of the organization's training meeting, the group will need to work on adopting a risk management plan of their own that covers the required risk management topics.  This adoption will need to be added to your constitution.  You will need to plan a timeline for the review, update, and ratification of your revised constitution to meet the deadline being set forth by the office (Sunday, October 23, 2022).

Step 5

Once all steps are completed, you will submit your information using the Risk Management 2022 Completion Form via the Center for Student Involvement V Link page.  Once the Center for Student Involvement has verified that at least 75% of membership received the training, the designated officers will receive a final email with a confirmation of completion.

The deadline to complete all the above Risk Management steps is Sunday, October 23, 2022.
