Registration

To Register

Additional Registration Information

  1. There is no fee to submit an abstract. Submitting an abstract is not regarded as registration to the event. Registration to the Symposium is done using the “Marketplace” registration portal which is separate from the abstract submission process.

  2. All attendees must register for the event, including all authors, family members, collaborators, etc., once Registration opens.

  3. The “Online Only” fee is for participants not attending in person. If you register under this fee and attend in person, you will be subject to additional fees.

  4. In person attendance will consist of anyone not signed up for “online only” registration but includes access to the virtual platform.

  5. For UTRGV Medical students only: The SOM Office of Student Affairs will be providing a limited number of registration reimbursements. This means you must register first and then apply to get reimbursed. If interested, the following steps are required:

    1. First, pay for your Symposium registration using the following link:
      https://secure.touchnet.net/C20545_ustores/web/store_main.jsp?STOREID=45

    2. Then, complete the Student Affairs RedCap application the following link: https://redcap.utrgv.edu/surveys/?s=XE9FT8WWNM and the Student Excused Absence Form.
      If you have any questions about on these two forms email us at MDStudentAffairs@utrgv.edu.

    3. Complete application no later than Monday February 17, 2025.

  6. For UTRGV Undergraduate students only: Limited number of fee waivers may be available.
    If interested, apply using the 2025 UTRGV UG Waiver Form (limited based on funds availability and on a first-apply/first-serve basis).

  7. UTRGV and SOM departments interested in covering registration fees for their students, residents, faculty, and staff may do so by using their departmental credit card, if allowed. Alternatively, you can have them use their personal credit card and reimburse them via the BER in iTravel+. Contact jorge.teniente@utrgv.edu if you have any questions.

  8. Participating organizations not affiliated with UTRGV interested in covering registration fees for their participants may do so via a Purchase Order (PO). For further instructions, please contact jorge.teniente@utrgv.edu.

  9. Important Deadlines:

    1. Deadline for Abstract Submission is Friday, January 3, 2025.

    2. Notification of Abstract Approval is Wednesday, January 15, 2025.

    3. Last Day for Early Registration is Thursday, February 13, 2025.

Fee Structure

Fee Structure
Early Registration fees will apply from 12/15/24 through 02/13/25, as follows:
Online Only (for participants not attending in-person, and irrespective of academic/professional title). $25
Undergraduate & Medical students $20
Graduate students, Residents, Fellows/Postdocs, and Staff $40
Faculty and Guests attendees
*Guest includes any attendee who is not an undergraduate, medical, or graduate student nor a medical resident, fellow, staff member, or faculty
$75
Late & On-site registration fees will apply from 02/14-15/2025, as follows:
Late and On-site Registration fee $100

 NOTES:

  1. In person attendance includes access to virtual platform.

  2. If you have grants or other funds containing monies for research meetings/conferences you may be able to use them. Please contact your fund/grant administrator for additional information.
