Grants Accounting
The Office of Grant Accounting (GA) ensures the financial integrity, compliance, and accurate reporting of all externally funded projects at The University of Texas Rio Grande Valley (UTRGV).
GA manages the post-award financial lifecycle of sponsored awards; from recording incoming disbursements and submitting drawdowns to preparing state and federal reports, overseeing sponsored accounts receivable, and ensuring all projects remain audit ready.
GA works closely with the Office of Grants and Contracts as well as other departments within the University through the lifecycle of a sponsored project.
Through rigorous financial management, transparent reporting, and adherence to federal and state requirements, GA supports UTRGV’s research enterprise and helps faculty maintain compliant, well-managed awards.
What We Do
Financial Management & Reporting
- Manage financial data for restricted awards to support internal and external financial reporting.
- Assist with UTRGV’s Annual Financial Reports related to sponsored projects.
- Contribute financial data for the Texas Higher Education Coordinating Board (THECB) Sources & Uses Report.
- Prepare and submit data for the National Science Foundation (NSF) Higher Education Research & Development (HERD) Survey.
- Provide regular financial updates to key institutional stakeholders on sponsored project activity.
Cash Management & Receivables
- Oversee collection of Sponsored Accounts Receivable (AR).
- Record incoming grant disbursements from sponsors or collaborating institutions.
- Submit drawdown requests to funding agencies based on allowable, incurred expenses.
- Process refunds to sponsors when required.
Compliance, Documentation & Reporting Requirements
- Review project financial and award documentation to ensure compliance with record-retention standards.
- Report subawards to maintain compliance with the Federal Funding Accountability and Transparency Act (FFATA) of 2006.
- Complete and maintain New Sponsor Vendor Financial Institution Setup Forms to support accurate payment processing.
Closeout Activities
- Process project closeout requests, ensuring all financial, reporting, and compliance requirements are aligned and completed.
