How to Make Room Reservations
UTRGV utilizes Astra software to maintain all room reservation requests. All University employees have access to Astra. If you need assistance with your access, please email scheduling@utrgv.edu. Training for Astra is available by signing up at the Training Services Portal.
Event Planning Process
Phase 1: Design & Planning
Event planner creates agenda, reserves meetings spaces in Astra, and submits all proper documentation.
Phase 2: Coordinating
During this phase, logistics, room layout and set up notes are submitted. Locate campus services that you need to support your event.
Phase 3: Reviewing
Double check event needs/services. Last day to reserve room/services is 5 business days prior to Event Date.
Phase 4: Executing
Event Date; hope you have a great event!
If you need to make changes, postpone or cancel your reservation, visit the Astra page.
Student Organizations & VLink
Student Organizations must register their events and make room requests through the Student Organization Reservations page.
