Proposal Review Process and Timeline for AY 2025-2026
Proposals are to be initiated in Curriculum Strategy before review and approval by department chairs, college committees, and deans. Proposals reviewed and approved outside of Curriculum Strategy may experience delayed implementation due to the absence of feedback from Office of Curriculum and Institutional Assessment staff.
To ensure the earliest consideration of a proposal, proposers should seek assistance from Curriculum Managers in the Office of Curriculum and Institutional Assessment. Curriculum Managers can assist proposers by providing guidance on the proposal process, ensuring all necessary documentation is included, and offering feedback on proposal completeness and clarity. For assistance, email curriculum@utrgv.edu.
The submission, review, and approval timeline commences with the initiation of a proposal by faculty and proceeds through the following review and approval steps:
- Initiate the proposal in Curriculum Strategy. Please refer to the proposal initiation deadlines listed in the table above.
- The OCIA staff conducts an initial review for completeness and clarity. This review typically requires up to two weeks; however, additional time may be necessary for complex changes. Upon completion, proposals are either advanced to the Department Chair or returned to the submitter for revisions.
- The Department Chair reviews and approves the proposal. Where applicable, the Chair will attach supporting documentation reflecting departmental committee approval. Reviews at this stage should generally be completed within one week of receipt.
- The College Committee, if required, conducts its review and grants approval. The Committee Chair attaches any required departmental committee documentation. The College Committee should schedule reviews to ensure the dean has adequate time for further evaluation and, if appropriate, approval prior to the scheduled committee meeting.
- The College Dean reviews and approves the proposal. Approval is required at least one week before the relevant committee meeting and must occur early enough to provide OCIA staff with sufficient time to include the proposal on the agenda.
- OCIA staff conduct a final review to schedule the proposal for the meeting agenda.
- The Graduate or Undergraduate Committee reviews and approves the proposal.
- Following committee action, OCIA staff perform a post-committee review to prepare the proposal for publication in the catalog.
- The Provost conducts the final review and grants approval.
