Communications with the Ombuds
Communications with the Ombuds is confidential, unless there is knowledge of imminent risk of physical harm to self or others and to the extent permissible by law.
Voluntary Communications
It is voluntary to work with the Ombuds. UTRGV faculty may consult with the Ombuds confidentially and without fear of retaliation. It is not required that a person seek help from the Ombuds.
Email and Voice Mail
A face-to-face visit is usually the most helpful and the Ombuds offers a confidential, safe space to meet. It is important to keep in mind that email is not a confidential form of communication and is subject to open records requests. You may use email for the initial contact, but do not discuss sensitive information electronically.
Records
The Ombuds will not keep records for the University, except to collect statistical data and will not create or maintain documents or records for the University about individual matters. Notes and/or any other non-electric materials related to a matter will be maintained solely by the Ombuds and kept in a secure location. Once the matter is closed, materials are destroyed. The University retention schedule will apply to electronic information.
