Move-Out Procedure

(May 7, 2020 by 4:00 P.M)

  • Important Steps for All:
  • Attend your floor/room meeting for full details about closing procedures in your room. (Check with your RA for location, date, and time)
  • Select either Express Check-Out or In-Person Check-Out
  • Move all of your belongings out of your room
  • Complete the "Before We Leave" checklist
  • Return your room key either to the RA or to the Housing Office.

Before We Leave

In Person Check-Out Procedures

1. Sign up for an appointment time with your RA. (You must sign up at least 24- hours in advance prior to check out)

2. Move all of your belonging out of your room/apartment/building.

3. Complete the "Before We Leave" checklist

4. Clean your room/side of the room thoroughly. For shared spaces, it is everyone’s responsibility to clean. If area is not cleaned, the last person checking-out is responsible to clean.

5. Meet your RA at the designated time for your checkout appointment.

6. Turn in your room key and parking permit to the RA who checks you out.

Checkout should take about 10 minutes as longs as:

a. All belonging are out.

b. You have completed the "Before we leave" checklist.

c. There are no damages to the room

Please note:

Missing a scheduled checkout appointment with an RA will result in a delay or the need to do an Express Check-Out.

Residents failing to leave the building by May 10 at 4:00 P.M. will be assessed a late checkout fee starting at $25.

*No Need to sign up for an           appointment.

*You waive the ability to dispute charges (i.e. damages or cleaning)

*Move out at your own pace (as  long as it is before 4 p.m. on May 10th.    *You waive the opportunity to be present at the time the room will be checked therefore, if damage are found or cleaning is required, there is an increased risk of being fined.

1. Move all of your belonging out of your room/apartment/building.

2. Complete the "Before We Leave" Checklist

3. At the 24-hour front desk in your building (Edinburg) or the Casa Bella office (Brownsville), fill out an express check-out envelope and return your key by  4:00 P.M. on May 7th.

Important Details

Last day to pick up mail May 6th at 7p.m. All mail and packages need to be picked up prior to checking out. Anything that is delivered to our office will be returned. Reminder to forward all mail to a present address. You can change your address online. Usually, you will receive mail at your new address 7 to 10 Postal business days after you request your Change of Address (COA). We recommend filling out a COA request 2 weeks to 3 months before you move. We have provided the link: moversguide.usps.com.

If you are graduating, you will need to email your Housing Coordinator a confirmation email that will be sent by Registrars.

If you are needing a delay departure, you will need to email your Housing Coordinator.

If you are a graduating resident or do not plan to live with us the following year you may request your deposit. A full refund of your deposit is granted unless there are damages to your room. Deadline to submit request for deposit return is June 7, 2020.

Microfridge Defrosting

Follow the Microfridge Defrost and Cleaning Instructions to avoid a $20 fine.

*A fee will be charged to your account if your room, restrooms are not clean, or any damages are found. You may receive additional information and instructions from your housing coordinator and the Department of HRL not covered in this guide.

Fall Living Arrangements

If you do plan to return for the fall semester remember to fill out the online application. You will find our application at my.utrgv.edu, and then click the Housing icon.

Check Out Extensions and Graduating Residents

If you are unable to Check Out by Thursday, May 7, 2020 at 4 PM you must contact your Housing Coordinator by Monday, April 27, 2020 or meet with them in person to receive approval for Check Out Extensions.  Check Out Extensions are a request and not guaranteed to all students, if you know you are in need of extra time, please contact the Housing Coordinator asap. The maximum extension you can receive is up until Sunday, May 10, 2020.
