Essential Employment letter template
MEMORANDUM
To: Supervisors
From: Office of Human Resources
Subject: Essential Employment letter template
As the COVID-19 pandemic has grown, many local city, county and state governments have issued “shelter in place” orders for its citizens to stay at home. The same is true here in the Rio Grande Valley. UTRGV is considered an essential organization because we are an institution of higher education, as well as a provider of healthcare services. Many employees have been able to work at home for the past few weeks, and it looks like this will be our reality for the foreseeable future. However, several UTRGV employees are considered “essential” to the operation of the institution, requiring those individuals to come to campus to perform their job duties regularly, or on occasion.
Prior to transitioning to a remote work operational model, the Office of Human Resources requested division heads to review their departmental employment rosters and identify employees as essential or non-essential. We are in the process of producing an Essential Employee Letter for everyone on your team designated as essential. The letter will be from Human Resources and will not have a wet signature. We will be sending these letters directly to the employees via mail merge and we will start sending in the next few days. We will be asking employees to carry this document while commuting to and from their UTRGV worksite and will remind them that they should always carry their UTRGV ID badge. Increasingly, local law enforcement agencies are stopping and questioning individuals as to why they are not “sheltering in place”.
We will be providing a list of letters produced to each division head.
Thank you.
