Approve, Change, or Cancel a Leave Request (For Supervisors Only)

A. Approve a Leave Request

To approve a Leave Request:

  1. Log in to ServiceNow at utrgv.service-now.com.
  2. From the menu, click Leave Request.
  3. Click My Approvals to view Leave Requests pending your approval.
  4. Click Created date and time to view the details of the request and approval options.
  5. Select Approve or Reject.
  6. Verify the State is correct under My Approvals.

B. Change a Leave Request

[FOR SUPERVISORS ONLY]

NOTE: Employees CANNOT make changes to a leave request once it has been submitted. They must contact their supervisor to make any necessary changes.

 To change a Leave Request:

  1. Log in to ServiceNow at utrgv.service-now.com.
  2. From the menu, click Leave Request.
  3. Click My Approvals to view leave requests you approved.
  4. Locate the Leave Request Number provided by your employee under Approval for and click on it OR enter the number in the Search field at the top right of the screen.
  5. Click the field you want to change. Below are the fields that can be changed:
    1. Type
    2. Start Date
    3. End Date
    4. Hours (NOTE: Hours MUST be changed from the Start Date and End Date calendar time.)
    5. Delegate
    6. Reason for leave
  6. Click Update.

NOTE: If the Start and End Date are changed, the change in the hours will not be reflected until you update the entry. Be sure to verify the hours shown are correct before re-approving the request.

C. Cancel a Leave Request

BEFORE the Start Date of the Approved Leave Request, employees CAN cancel their own requests.

AFTER the Start Date of the Approved Leave Request, employees MUST contact their supervisor to cancel the request. Supervisors can ONLY cancel Approved Leave Requests ON or AFTER the Start Date of the request.

To cancel a Leave Request:

  1. Log in to ServiceNow at utrgv.service-now.com.
  2. From the menu, click Leave Request.
  3. Click My Approvals to view leave requests you approved.
  4. Locate the Leave Request Number provided by your employee under Approval for and click on it - OR - enter the number in the Search field at the top right of the screen.
  5. Under Leave Entries, click the Leave Entry Number.
  6. Click the down-arrow in the Approval field.
  7. Select Canceled from the drop-down list.
  8. Click Update.
  9. Verify the Cancellation.

D. Cancel a Leave Entry

When canceling a Leave Entry on a Leave Request with multiple entries, be sure to cancel the individual leave entry ONLY, not the entire Leave Request.

To cancel an individual Leave Entry:

  1. Log in to ServiceNow at utrgv.service-now.com.
  2. From the menu, click Leave Request.
  3. Click My Approvals to view Approved Leave Requests.
  4. Locate the Leave Request Number provided by your employee under Approval for and click on it OR enter the number in the Search field at the top right of the screen.
  5. Under Leave Entries, click the Leave Entry Number to cancel provided by your employee.
  6. Click the down arrow in the Approval field.
  7. Select Canceled from the drop-down list. (NOTE: Be sure to verify the Leave Entry Number before changing the Approval field.)
  8. Click Update.
  9. Verify the Cancellation.
