PeopleSoft 9.2 Implementation

MESSAGE FROM OUR SPONSOR
In less than six months, UTRGV employees will be using PeopleSoft 9.2 for HR and Financial transactions. On September 1, 2018, end users will benefit from new features that will give them an enhanced, more intuitive user interface and additional self-service functionality.

At this time, our core team members are undertaking an intense data validation process to make sure the historical information that we will be converting from our current legacy systems to PeopleSoft is complete and accurate. Simultaneously, the team has begun preliminary testing exercises (unit testing) to ensure that each individual module is configured and developed as designed. Full system testing, which includes making sure all of the modules work together, will start towards mid- to late April 2018.

During the testing phase, our goal is to find all of the bugs and any other system or process issues so that we may address them before launching to production. Without question, this will be a very busy period but we are also excited to see the full PeopleSoft functionality with our own UTRGV data!

Our end user training and transition plans are also making progress. For more details, please see the Training and Transition section of this newsletter below.

Last, but not least, we have also started planning for the actual cutover to PeopleSoft. Cutover is the period right before go-live in which we will seize to process transactions in our legacy environment (Oracle EBS) and begin to execute our processes in PeopleSoft. As part of this planning, our teams are developing a list of dates that our campus users need to be aware of in order to plan around them and avoid delaying important processes such as purchases and hiring new employees. Once our Governance Committee has reviewed and approved the proposed plan, these important dates will be communicated.

As always, we want to hear from you about any questions, suggestions or concerns. This can be done through the Contact Us form on our website (located here) or by sending an email to peoplesoft@utrgv.edu

Thank you for taking the time to read our newsletter!

Executive Vice President for Finance and Administration

PROGRAM TIMELINE
Our program timeline is below, which reflects the go-live date of September 1, 2018 for Human Capital Management (HCM)/Financial Management Solutions (FMS), and the go-live date of July 1, 2018 for the first two modules in Campus Solutions (CS).

TRAINING AND TRANSITION
Training is an integral part of our program. Exact training dates will be announced in advance to give users sufficient time to plan.

In addition to training, we are identifying a team of PeopleSoft Super Users for every college and offices across UTRGV in order to create a support system for end users once we are live in PeopleSoft. Most of these individuals are already advanced users in our current system, Oracle EBS, and are very familiar with current processes. They will receive similar advanced training in PeopleSoft and on process changes, so they may assist end users within their college or office. Our goal is to provide our campus community with a support system as we learn to adopt PeopleSoft and these Super Users will play a key role in making this happen.
