PeopleSoft 9.2 Implementation

In just six
short months, all UTRGV employees will be using PeopleSoft 9.2
for its HR and Financial transactions! On September 1,
2018, end users will benefit from new features that will give
them greater control and simplify processes. Here are some of
them:
- A new and improved interface called FLUID
will enhance the user experience, including a mobile
friendly architecture that adapts to most devices.
- In the Human Capital Management (HCM)
application, a streamlined and more effective Employee
Self-Service (ESS) and Manager Self-Service (MSS) will give
employees the ability to submit and supervisors to approve
several types of transactions:
- Request leave
- Request to work overtime
- Update competencies
- Review total compensation including
benefits, leave, salary and additional compensation
- Benefits updates
- Request for statutory leave: FMLA and Sick
Leave Pool (SLP)

Our end user training plans are also making great
progress. As previously communicated, we are preparing to conduct
training for the PeopleSoft 9.2 FMS/HCM project starting in July.
End user training for the Campus Solution system will be later as
those modules approach their go-live dates. In addition, training
resources will still be available after go-live so that users can
refer back to them as much as they need to. For more details,
please see the Training and Transition section of this newsletter
below.

PROGRAM TIMELINE
Our program timeline is
below, which reflects the go-live date of September 1, 2018 for
HCM/FMS and the go-live date of July 1, 2018 for the first two
modules in CS.

TRAINING AND TRANSITION
Every major implementation
requires training end users on new processes and system
functionality to ensure a seamless and successful
transition. We continue working with each of the PeopleSoft
project teams to develop a training plan for end users on
PeopleSoft 9.2 FMS, HCM, and CS systems.
Training for FMS/HCM is scheduled to begin in July
2018. We plan to offer targeted training based on roles and
responsibilities. There will be various modes of instruction,
including face-to-face in a computer lab setting, video clips,
job aids as well as User Productivity Kit (UPK) that allows the
end user to access help from within PeopleSoft in various modes.
Training dates and schedules will be announced through various
means, including direct email to end users, UTRGV Messenger
notifications and the PeopleSoft website, in advance to give
users sufficient time to plan.
Once
we are live, a PeopleSoft Support System, which will consist of a
well-defined process that end users can follow, online resources
and individuals that can assist the end users, will be made
available to help. Our goal is to provide end users with a
support system that they can rely on as they learn to adopt
PeopleSoft..
Also,
the Office of Human Resources (HR) has been providing training
sessions on Organizational Change Transforming and Leading in
preparation for the transition to PeopleSoft. These sessions
explore the dynamics of organizational change, highlight
proactive techniques to prepare for change, identify key
resources to facilitate the change process, and reveal strategies
for optimal effectiveness. If you have not already attended, we
encourage you to register for an upcoming session through the
UTRGV Training Services portal at www.utrgv.edu/training.
