Accessing the Avaya User Preferences Web Portal

  1. Log in to the Avaya Web Portal (
  2. Enter your Mailbox number (4-digit telephone extension).
  3. Enter your Voice Messaging System password.  
  4. Click Log In.

General Preferences

General Preferences allows you to manage:

  • Location Time Zone and Language
    • Time zone determines the time-stamp on messages received.
  • Mobile Phone or Pager
    • Used for Notify Me to send text message notifications when voicemail is received.
    • Numbers are entered in a 7-digit format.
      • Note: Only local numbers are supported.
  • Attendant
    • This is the telephone extension to which the caller is transferred if they Press "0" when they reach your voicemail greeting.

**PLEASE NOTE: Fax and Play on Phone are not supported.

A.) Reach Me

To have the voicemail messaging system try up to three phone numbers (in the order that you provide) before sending callers to your voicemail:

  1. From the menu on the left, click Reach Me.

  2. Select your preferences for Caller Categories.

    • When callers try to reach me: 
      • Treat all callers the same.
      • Distinguish between priority callers and other callers.
        • Note: Priority callers are other voicemail users on this system.
  3. Select your preferences for Call Handling.

    • For all callers, when I do not answer on my extension:
      • Forward calls to the Reach Me numbers below.
        • Before forwarding, ask callers to record their name so I can screen the call.
      • Go to voice messaging.
  4. Enter your Reach Me Numbers.
    • Forward calls to the following phone numbers, in this order:
      • First, enter up to three phone numbers.
      • After (number of) rings, go to voice messaging/other phone
  5. Enter your Reach Me Schedule.
    • Forward call only between: 
      • Select Times and Days.
  6. Click Save.

Note: Available only for local numbers with a 956 area code. 

B.) Notify Me

To have an email notification with a copy of the recorded voicemail message to listen to your voicemail through your email,  

   OR to have a text message sent to your mobile phone when a message is received:

  1. From the menu on the left, click Notify Me.

  2. Select your preferences for Phone Notifications.

    • Notify me when a new voice message arrives. 
      • With a phone call to...
      • With a text message or page to...
        • Note: Select appropriate Mobile Provider.
      • Only for important messages
  3. Select your preferences for Email Notifications.

    • Email me a notification for each voice message.
      • To email address...
        • Include the recording.
  4. Click Save.

Note: You will still need to log in to your voicemail using your telephone to delete messages from your voicemail box to keep it from getting full. 

C.) My Phone

To manage message playback order, speed, date/time announcement, and voice recognition features:

  1. From the menu on the left, click My Phone.

  2. Select your preferences for Message Playback Order for, Unread, Read, and Saved messages.
    • Play newest first.
    • Play oldest first.
    • Play important messages before others.
  3. Select your preference for the Message Playback Speed.

    • Default speed level for playing back messages: [percentage] of normal speed. 
  4. Select your preference for Voice Recognition for Addressing.

    • When addressing a new voice message, let me select recipients:
      • Using voice or keypad.
      • Using keypad only.
  5. Click Save.

D.) Personal Lists

To manage Personal Distribution Lists to send voice messages to multiple recipients:

  1. From the menu on the left, click Personal Lists.
  2. Click Add New List to create a new list.
  3. Enter a List name.
  4. Select a list number (11-99).
  5. Enter the First Name, Last Name, and Mailbox for each member.
  6. Enter the new member mailbox, then click Add.
    • Note: Administration of lists requires that you know the mailbox number of each recipient.
  7. Click Save.

E.) Greetings

To manage Greetings, log in to your desktop telephone and follow the Avaya Navigation Menu.

F.) Password

To change Messaging Password:

  1. From the menu on the left, click Password.
  2. Enter a New password (5-10 digits).
  3. Confirm your new password.
  4. Click Change.

G.) Advanced

This feature is not supported.
