Guidelines

Eligibility

  • All tenure-track/tenured faculty and three-year non-tenure-track faculty in the Division of Academic Affairs and Health Affairs at UTRGV are eligible to apply.
  • Faculty who will be presenting or exhibiting their work at major regional, national, or international academic or professional conferences/forums within the travel application cycle are eligible to apply. Faculty who wish to attend a conference without presentations or exhibitions are ineligible. 
  • Faculty who have a paper/presentation accepted or pending an acceptance notification are eligible to apply.
  • If you have not received a previous award within the Program year, you are eligible to apply.

Application Process

  • Faculty members must submit a complete ONLINE APPLICATION FORM by the submission deadline for travel within travel period/cycle. 
  • A maximum of $800 in matching travel support funds for travel-related costs, including registration fees, can be requested. Note that this amount may not be fully awarded.
  • All application supporting documents must be uploaded as one single PDF document in the following order listed below. Failure to include all required supporting documents will automatically disqualify you for consideration of funds.
    • Evidence of acceptance for presentation of a scholarly/research paper or artistic presentation is required and must accompany the application. If pending acceptance, please mark the "pending" box, let us know the estimated date of notification, and update our office via an email to FacultySuccess@utrgv.edu when you receive this information.
    • Travel-related expenses (quotes, receipts, or screen shots, okay) for the categories listed below. You do not have to attach quotes for ground transportation (Taxi/Lyft/Uber services), meal per diem, and incidentals.

      • Airfare
      • Car rental
      • Lodging
  • Upon submission of the online application form, an email will be automatically generated and sent to the Department Chair/School Director. That email will contain a link directing the Chair/Director to complete his/her certification of the application. We encourage all applicants to inform their Department Chairs/School Directors in advance and provide them with information about the conference for which they are seeking funding.
  • Department Chairs/School Directors will also complete an online Certification Form, in which s/he will indicate the amount of funding pledged by the Department/School to support the faculty member's travel application. If the Department/School has no funds available to support this request, s/he will note this on the online Certification Form.
    • Department Chair/School Director travel support applications will be certified by their College Dean.
  • Applications submitted by the deadline will be screened and applicants will be notified by the Approximate Notification Date to the extent possible.
    • Applications submitted after the deadline will automatically disqualify you for consideration of funds.

Program Guidelines

  • Faculty members may apply for up to $800 in travel funds to match a Department’s/School’s travel support for the presentation of research/creative work at a major academic/professional conference or exhibition.
    • This program is intended to supplement, not replace, Departmental/School travel funding, which will remain the primary source for funding faculty travel. Thus, cost sharing by Departments/Schools and/or Colleges is required unless the Chair/Director or Dean certifies that all Departmental/School/College travel funds have been exhausted.
  • Priority will be given to Tenure-Track applicants.
  • Applicants are limited to submitting one (1) application per funding cycle.
  • Applicants may not receive more than one (1) award per funding cycle and may only receive one (1) award per Program year. Any applicant who is denied funding in one cycle may reapply in the next cycle. 
  • Typically, funds may not be used for another conference or purpose than specified in the application. However, we understand that extenuating circumstances occur and will consider changes to another conference on a case-by-case basis.
  • If awarded, attendance to at least one faculty professional development workshop offered by the Office of Faculty Success & Diversity is required within the academic year.
  • If awarded, a report is required after you return from your trip; failure to submit the report makes you ineligible for future travel support for the upcoming academic year. Additional details will be included in your award notification.
