Spirit Program Request Form
To request an appearance by the UTRGV Spirit Programs, please review all directions and guidelines below. Also, please acknowledge that you have read all directions and guidelines in order to access the form.
- The requesting group/organization must submit a completed appearance form 14 business days in advance of event. All events are subject to approval must be submitted in a timely manner in order to be considered. Please see the Appearance Form.
- Appearance requests are reviewed every Wednesday. We will review your request and notify you regarding the status of your requests the Wednesday following your submission. Requests are filled on a first come, first served basis and subject to Spirit Program availability.
- Please contact the Spirit Program office at spirit@utrgv.edu a week prior to the event to confirm all details.
- A few days before the event, you will receive the contact information of the group leader for your event. This person will be your contact for any last-minute changes or details the day of the event.
- Event date/time changes may be requested for approved appearances but cannot be guaranteed.

APPEARANCE GUIDELINES

- Spirit Program members may not attend a function that causes them to miss classes, practices, UTRGV Athletics events, or other program obligations.
- For events not located on The University of Texas Rio Grande Valley campuses, client agrees to pay the standard IRS mileage rate of $0.54/mile (valid through December 31, 2016).
- Requests for appearances outside of the Rio Grande Valley will not be approved.
- Outside groups may not use UTRGV trademark logos, including the Vaquero logo or images of the UTRGV Spirit Program members for promotion of an event.
- Requested Spirit Program and Mascot team members may not accept gifts, special promotions, or other items unless those items are available to the general public.
- UTRGV Spirit Program and Mascot Team reserves the right to cancel an appearance at any time due to schedule changes, illness, emergencies, etc.
- Appearances are limited to a two-hour time frame for the UTRGV Spirit Program and are limited to a one-hour time frame for mascots. Events longer than the aforementioned time frames will be subject to approval.
- Keep in mind that Spirit Program and Mascot Program members attend events as special guests to represent the University. They are there to meet and greet guests, take photos and/or perform. They are not available to assist in any manual labor, set up or tear down of the event. Please contact us if you have questions regarding this policy.
- UTRGV Spirit Program may provide a handler to assist in escorting the Vaquero Mascot depending on the event.
- UTRGV Spirit Program members enjoy entertaining a friendly and safe audience. They reserve the right to walk away from any appearance in which they feel unsafe.
- Requesting group/organization must provide the following:
1. Parking
2. Changing room and break area for mascot that is not a restroom (if applicable)
3. Secure area to store personal belongings
4. On site contact person to communicate all details of the event
5. A sound system for any appearances involving a performance.
