Setup and Manage a Skype for Business Meeting

Set up an Audio or Video Meeting

Use Skype for Business desktop client:
  1. Open your Skype for Business desktop program.
  2. Click on the settings icon and select Meet Now.
  3. In the window that appears, click Use Skype for Business and then OK.
Invite Attendees:
  1. Click on the Participants List icon.
  2. Select Invite by Email.
    • NOTE: An email will automatically open containing a link to the meeting.
  3. Add recipients and click Send.
  4. You may also click on the Settings icon in the bottom right of the Skype meeting and select Meeting Entry Info.
  5. In the Meeting Entry Info window, select Copy All Info.
  6. Paste the copied information in a chat or email and send to the desired recipients.
Use Outlook desktop client:
  1. Open Outlook and click on the Calendar tab.
  2. Click New Skype Meeting in the Home tab.
  3. Enter each person you want to invite in the To line.
  4. Enter a name for the meeting in the Subject line.
    • NOTE: To add a physical location, click the Room Finder in the Meeting tab and enter the location you wish to use.
  5. Select a start time and end time.
  6. In the meeting area, type an agenda. Do not change any of the information for the meeting.
  7. Click Send.
Use Outlook Web App:
  1. Click the Calendar app in the Office 365 portal.
    • NOTE: You must be using a browser that supports the full Outlook Web App.
  2. Click New.
  3. In the window, click Online meeting.
  4. Fill in meeting information and add an agenda. Avoid changing any of the online meeting information.
  5. Add attachments by clicking More actions and Insert. Click on Attachments or OneDrive files or Pictures inline.
    • NOTE: This step is optional.
  6. Click Send.

Managing an Audio or Video Meeting

Share Your Desktop, a Running Program, or Other Media:
  1. Click on the Present icon.
  2. Select which media sharing option you wish to use:
    • Present Desktop: Allows you to share your desktop.
    • Present Program: Allows you to share a program running on your computer.
    • Present PowerPoint: Allows you to choose and share a PowerPoint document.
    • Add Attachments: Allows you to share downloadable attachments.
    • Shared Notes: Access notes shared with others.
    • My Notes: Access your personal notes.
End a Meeting:
  1. To hang up from the meeting, click the Hang Up icon.
  2. If you created the meeting and want to completely end it, click on the Settings icon and select End Meeting.
  3. Click OK.
