To create a Outlook Data File (.pst) - Outlook 2013/2016:

When you run Microsoft Outlook 2013/2016 for the first time, the necessary data files are created automatically. Sometimes additional data files are needed. Older messages and items that you do not use regularly can be archived to an Outlook Data File (.pst). Also, if your online mailbox is near the storage quota, you can have them moved to the Outlook Data File (.pst).

  1. Click on the Home tab, under New, click New Items, point to More Items, and then click Outlook Data File.
  2. In the Create or Open Outlook Data File dialog box, in the File name box, enter a file name as you want it to appear in the Outlook Navigation Pane, and then click OK.
  3. To add a password to your data file, check the box next to Add Optional Password. Type in that password that you want to use in the Password and Verify Password text boxes.

    NOTE: By default, data files are not password protected, and if you wish to access your email from multiple devices, it's important to note that Outlook Data File (.pst) are available only on the computer where the file is saved.
